Organizations
Learn how to manage Organizations in Hablla. Add, edit, import and filter company and client data to keep your CRM always organized.
The section of Organizations is where you manage all the companies and entities your team interacts with. Keeping this database organized is essential for good relationships with customers, partners, and suppliers.
On this page, you can add, view, edit, and organize all important information about the companies registered on your platform.
The Organizations Screen
When accessing the Organizations area, you will find a complete list of all registered companies. This screen serves as your central dashboard to view, search, and quickly access records.
By default, the listing displays the most common columns for quick identification, such as Status, Name, CNPJ and Phone. However, each organization in Hablla can contain a much richer set of information.
Below are all the fields you can use to detail an organization's records:
Name: The trade or commercial name of the organization.
Legal Name: The company's registered legal name.
CNPJ: The National Register of Legal Entities.
Email: The organization's primary email address.
Phone: The primary phone number for contact.
Full Address: Includes all location details:
ZIP Code: The Postal Addressing Code.
Street, Number, Complement and Neighborhood.
City: The city where the organization is located.
State: The organization's state.
Owner: The user on your team who is the primary person responsible for that organization.
Custom Fields: Additional fields created by your team to store information specific to your business.
Tags: Markers that help categorize, segment and filter your organizations easily (e.g., "VIP Client", "São Paulo", "Industry").
Reference Dates:
Created at: The date the organization was added to Hablla.
Last updated: The date of the last modification made to the record.
Status: Indicates the organization's current stage in your business process.
Status Types
The Status field is essential to understand a customer's lifecycle. The possible values are:
Prospect: A potential customer who has not yet been fully qualified.
Engaged: A lead that is already in conversation or interaction with your team.
In Negotiation: A proposal has been sent and the negotiation is in progress.
Active Customer: A customer with an active contract or service at the moment.
Inactive Customer: A customer who previously had a contract but is inactive.
Promoter: A satisfied customer who acts as a promoter of your brand.
Lost: A business opportunity that was lost.
Not Qualified: The lead was disqualified because they do not fit the ideal customer profile.
Above the list, you have quick access to the following actions:
Search: Quickly search for a specific organization.
Merge: Tool to unify duplicate records.
Filters: Allows you to segment your list based on specific criteria.
+ Add: Opens the form to register a new organization.
Adding a New Organization
To register a new company, click the button "+ Add". A simple form will be displayed for you to fill in the essential information:
Company name: The organization's main or trade name.
CNPJ: The company's CNPJ.
Legal Name: The company's legal name.
Phone: A contact phone number.
Email: A general company email.
Clicking on "+ Add more data", you will have access to additional fields for a more complete registration:
Address: ZIP Code, Country, State, City, Neighborhood, Street, Number and Complement.
Status: The organization's current phase in your funnel (e.g., Active Customer, Prospect).
Owner: The user on your team who is responsible for this organization.
Custom Fields: Extra information that you may have configured in your account.

The organization's main or trade name.

The company's registered legal name.

National Register of Legal Entities number.

A description, notes or relevant information.

Organization's stage in the funnel.

List of phone numbers. May include type (personal, business) and whether it is WhatsApp.

Filtering Organizations
Filters allow you to segment your organization base to find exactly what you need. Click "Filters" to open the options sidebar.
You can filter by:
Status: Shows only organizations with the selected status.
Custom Fields: Filters based on the values of your custom fields.
Tags: Shows organizations that have one or more specific tags.
Merge Organizations
If you find duplicate records, you can unify them. Select the organizations you want to merge in the list and click "Merge". A screen will appear for you to review the information and confirm the unification.
Import Data
To add multiple organizations at once, use the import function.
Click on "Import data" in the left side menu.
Download the spreadsheet template: This ensures your data is in the correct format.
Fill in the spreadsheet with the organizations' information.
Upload the file on the import screen.
Set the rules: Choose whether you want to update existing records or allow duplicates.
Click on "Import" to start the process.
Export Data
You can export your organizations' data to a file.
Click on "Export data" in the left side menu.
Give a name (Description) for your export.
Select the format of the file: CSV, JSON or XLSX.
Click on "Export".
