# Exporting People

The feature of **People Export** allows you to generate a file containing the data of the people registered in your Hablla workspace. You can export **all registered people** or use the available filters to generate a file containing only the records that meet certain criteria.

This feature can be useful for external analysis, data processing, report creation, audits, or other situations in which it is necessary to work with people’s data outside of Hablla.

## How to export People

### 1. Access the People page

In the Hablla top menu, click on **Data** and then select the **People**.

If you are using a permission that is not an administrator permission, but still has access to people management, you can click on the <kbd>**People**</kbd>

This page will show the people registered in your workspace.

### 2. Apply the desired filters

Before performing the export, you can use the **Filters** to define which people should be included in the file. This step is optional. If no filter is applied, the export will consider all people in your workspace for export.

You can combine different filters to find exactly the set of people you want to export. Among the available filters are:

<table><thead><tr><th width="158.8275146484375">Filter</th><th>How it works</th></tr></thead><tbody><tr><td><strong>Status</strong></td><td>Allows you to filter people according to the <strong>person status</strong> within the workspace.</td></tr><tr><td><strong>Duplicates</strong></td><td>Allows you to identify people who have some <strong>duplicated information</strong> in the workspace, such as two people registered with the same phone number or email address.</td></tr><tr><td><strong>Organizations</strong></td><td>Allows you to filter people linked to an <strong>Organization</strong> registered in the workspace. Organizations can represent companies or other groups to which people are associated.</td></tr><tr><td><strong>Custom Fields</strong></td><td>Allows you to use the <strong>People Custom Fields</strong> as search criteria. Select the field you want to use and enter the corresponding value. The way the filter is filled in may vary depending on the type of custom field.</td></tr><tr><td><strong>Blocked</strong></td><td>Allows you to filter people according to their <strong>blocking</strong>, allowing you to find both blocked people and people who are not blocked in your workspace.</td></tr><tr><td><strong>Date</strong></td><td>Allows you to filter people by a <strong>specific period</strong>, using the date of <strong>Creation</strong> or <strong>Last Update</strong> of the person as a reference.</td></tr><tr><td><strong>Labels</strong></td><td>Allows you to find people who have certain <strong>Labels</strong> linked. You can select one or more labels, and when multiple labels are used, people who meet <strong>all selected labels</strong>.</td></tr><tr><td><strong>Owners</strong></td><td>Allows you to filter people according to the <strong>user defined as Owner</strong>. You can select one or more users to find the people who have these users as their respective owners.</td></tr><tr><td><strong>Followers</strong></td><td>Allows you to filter people according to the <strong>users linked as Followers</strong>. You can select one or more users to find the people to whom they are linked as followers.</td></tr></tbody></table>

**Understanding the Date filter**

When using the **Date**filter, you can choose between two references:

* **Created on:** considers the date when the person was originally registered in the workspace.
* **Updated on:** considers the date of the last change made to the person's data. Whenever any registration information is changed, that change is considered the last update.

**Check the filters before continuing.** If filters are applied, only the people matching the defined criteria will be considered in the export.

After defining the records you want to export, click the <kbd>**Export Data**</kbd>, located on the left side of the page, below the People section description.&#x20;

A new window will appear to configure the export.

### 3. Configuring your Export

Before starting the file generation, you will need to define a few very quick details. We will briefly cover each of them below:

* **Description**: This description will later be used to identify the request within Hablla’s **Notifications** .

> In our example, we will set the description as "**`People Export`**".

* **File Extension:** Choose the format in which you want to export your list. Currently, three file options are available. They are:&#x20;

> - **CSV**: A plain text format, excellent if you are going to import this list into other systems or platforms. NOTE: Excel also accepts this type of file.
> - **JSON**: A more technical format, generally used by development teams for integrations.
> - **XLSX**: The classic Excel format. Choose this if you just want to open the spreadsheet to read and organize the data on your computer.

### 4. Export and download the file

After checking the description, the chosen format, and the number of people to be exported, click on **Export**. Hablla will receive your request and display a notification in the upper-right corner of the screen informing you that the export was successfully requested.

The file is generated in the background. Therefore, depending on the number of records that need to be processed, the file may not be available for download immediately, so we recommend following up after the request.

Smaller exports are usually processed faster, while exports with a larger number of records may take longer to complete.

You do not need to stay on the People page while the file is being processed. To track the request, access the **Notifications** area of your workspace by clicking on the **notification** :bell: icon in the upper-right corner of your screen.

### 5. Download the file

When processing is complete, the export will be available in the **Notifications**. Find the corresponding export with the same name previously defined in the "**Description**" field in the export configuration and click the <kbd>**Download**</kbd>.

The file will be downloaded to your device in the format selected during the export configuration.

With the file generated and the download completed, you will have the exported people data according to the criteria defined earlier.

Whenever you need to export only part of your database, use the **Filters** before requesting the export. This way, you can generate more specific files and work only with the records needed for each purpose.
